City of Chicago Department of Transportation
Chicago

Industry: Public agency responsible for city street, alley, sidewalk curb and gutter construction; bridge maintenance; public way inspections; signs and pavement markings; planter and median maintenance; bicycle and pedestrian programs; and ground-transportation planning.

Solution: When 311 non-emergency calls in Chicago reached nearly 40,000 a year, the CDOT needed a more efficient way to manage its field staff. CDOT implemented Xora TimeTrack, allowing more than 480 CDOPT foremen and 80 consultants to use the solution to record timesheet and job status information from the field.

Results: Since deploying GPS TimeTrack, CDOT has dramatically improved customer service by responding to 311 requests more quickly. For example, the number of days to respond to citizen calls to fill potholes has been reduced from 20 days to 3 days. As a result, the city has seen its liability costs for pothole-related incidents reduced from $4 million to $600,000.

Quote: “We now have a visual representation of CDOT field activities, as they happen, that simply was not possible before Xora GPS TimeTrack was implemented. The combination of new procedures for field operations management and Xora GPS TimeTrack has been a significant improvement in response times to 311 requests and a savings to the city of more than $3M for pothole-related incidents alone.” Brian Steele, spokesperson for the City of Chicago Department of Transportation

Arizona Department of Weights & Measures
Phoenix

Industry: Public agency responsible for inspecting all commercial devices used to measure any item sold in the state of Arizona by weight or measure in Arizona.

Solution: Xora GPS TimeTrack was implemented for the entire team of the agency’s inspectors to clock in and out of job activities performed throughout the day and enter inspection details about work performed. This enables instant, accurate records of time spent on each activity. Job forms are customized by activity type, so inspectors choose the appropriate activity when beginning a job. The process works similarly for other activity types, and ensures that job information gathered by field investigators is complete and consistent.

Results: Reducing downtime between inspections is a top concern the agency, and Xora has allowed it to use the data recorded by inspectors to fuel valuable reports about hours worked, jobs completed, and time spent between jobs. They use this information to create rolling metrics to measure improvement in each of these key areas, thereby increasing the productivity of inspectors.

Quote: “With better staff accountability for daily functions such as inspection time, travel time, and administrative time, we have improved the efficiency of our team while controlling costs and meeting our customers’ needs.” Kevin Tyne, Director, Arizona Department of Weights & Measures

NorthEast Brooklyn Housing Development Corporation
Brooklyn, New York

Industry: Nonprofit organization committed to the preservation, development and management of affordable rental housing and homeownership opportunities, as well as community, economic development and human services that effect social change.

Solution: Xora GPS TimeTrack along with the ezLaborManager payroll solution from ADP was deployed to capture time sheet data, calculate payroll, and monitor the locations and activities of NEBHDCo workers throughout the day. Field staff use their mobile phones as “mobile time clocks” to clock in and out from job sites. The data is then transmitted seamlessly from the phones to ADP ezLaborManager. Back in the office, managers have access to web-based maps and business reports that show when each member of the field team started and completed a shift.

Results: NEBHDCo realized a return on its investment within weeks of deploying Xora GPS TimeTrack and ezLaborManager. The solution has saved approximately one hour per worker per day in travel time to and from the office, or 1,800 work hours every year. Automated data entry saves time and increases payroll accuracy. And because Xora GPS TimeTrack and ezLaborManager are cloud-hosted applications, NEBHDCo is not responsible for maintaining or upgrading the systems.

Quote: “As we expand into new communities, our ability to make the most of limited field staff resources will be crucial. Xora GPS TimeTrack and ezLaborManager help make this possible by eliminating unnecessary travel time for field staff, and improving the process by which we calculate payroll. Without question, Xora and ADP will be key to our success moving forward.” Jeffrey Dunston, Chief Executive Director, NEBHDCo
